Ignyto Automate

Your repetitive tasks, automated and looked after by us.

Low value manual work is slow, frustrating and prone to mistakes. We find the tasks eating your team’s time, work out what each one costs you a year, and put technology in their place — so your business grows without the headcount growing with it.

Book a call See the tasks we automate

A call about the tasks slowing your business down — what they cost you, and which one is worth fixing first.

01 — What it is

Ignyto work as your technology, automation and AI experts, so you do not have to become one.

We start by looking at the tasks that cost you most and are easiest to automate.

Not every repetitive task can be automated, and we will tell you which of yours cannot. The ones that can share three things: they can happen on a computer, they follow the same steps every time, and the information they need already exists somewhere — including on paper, if the process has never been digitised. Against each one we put the hours a week, the cost a year, and how hard it is to automate — then start where those numbers are best.

If you are doing the admin yourself

The evenings on invoices, the weekend catching up, the work you cannot take on because there is no time. That week is what comes back first.

If you are carrying the cost of it

People tied up on work that does not need judgement, and the next admin hire looming. The businesses this suits usually stop needing that hire rather than losing anyone.

We use whatever technology fits the task

We are not tied to one platform. If your business runs on Microsoft, we build it there. If it runs on Google, we build it there. What we build on is decided by what you already have and what the task needs, not by what we would rather sell you.

02 — What we automate

Just some of the tasks we are asked to automate, or make far quicker.

Each of these is a task somebody in your business does by hand today. Some can be automated end to end. Others still need a person to decide something, and technology takes the rest of it off them. Either way the point is the same: your people spend their time on work that needs judgement instead.

Getting data out of PDFs, scans and forms

Reading a document on one screen and typing it into another. The most universal task on this list, and usually the best first build.

Purchase invoices keyed in by hand

Supplier invoices arrive as PDFs and somebody types them in, one at a time, matching them to orders. Instead they arrive already entered, matched and coded, with anything unusual held back for a person.

Quotes and proposals typed from a template

Open last week’s version, change the name, change the numbers, hope nothing was missed. Instead: answer a few questions and the finished document comes back, priced consistently.

Chasing overdue payments

Usually the least popular task in the business. Instead every overdue invoice is chased on a schedule, escalating politely, stopping when it is paid, telling you only about the ones needing a phone call.

Onboarding a new customer

A checklist somebody follows, mostly. Instead every step happens, in order, chased until complete, the same way every time — and you can see where each new customer has got to.

Enquiries that go cold

They arrive by form, email and phone, land in different places, and get followed up when somebody remembers. Instead every one is captured, acknowledged immediately, assigned and followed up.

Checks that have to be done and evidenced

Identity, right to work, references, insurance certificates. Each one a manual task and a compliance risk. Instead: requested, collected, verified, filed and dated, with the audit trail built as it goes.

The report pack somebody builds every week

Exporting from two or three systems, pasting into a spreadsheet, formatting, sending. Every week, forever. Instead it is already built when you sit down.

Timesheets, expenses, renewals, appointment reminders, document packs, signature chasing, new starter onboarding, job scheduling, the shared inbox. If it repeats, it is worth listing. The review is what establishes which of them are worth doing first in your business.

03 — How it works

Four steps, and the first one is a conversation.

01 — The manual work review

It starts with a conversation about what is slowing you down, not an audit. We list the tasks that repeat and put three numbers against each — hours a week, cost a year, how hard it is to automate. Then we agree with you which one to do first. It is your business, so it is your call.

02 — The first build

One task, automated end to end. Small enough to be an easy decision, real enough to prove it. Hours measured before and after, so the result is a number rather than an impression.

03 — Live and looked after

Ignyto watches it, fixes it when something breaks, and keeps it working when a supplier changes their software. This is the part that is usually missing.

04 — The next one

Each month we automate more of the list you agreed, using technology, AI and integration between the systems you already have. The list gets shorter, and nothing already working gets broken to make room for something new.

04 — Why this rather than a one-off build

Somebody keeps it working.

That is the whole proposition. Automations break — a supplier changes their software, a login expires, a form gains a field, the person who understood it leaves. Most businesses who have tried automation have a broken one nobody can fix.

Everyone runs the current version

Every improvement Ignyto builds reaches every client, without a project to pay for and without breaking what already works.

Nothing you rely on stops working

New capability arrives switched off until you choose to turn it on. Nothing is removed without notice, a way across, and our help making the move.

You can see what you are getting

A regular report showing hours saved and cost avoided, in numbers, alongside what improved that month.

Built by an engineering business

Ignyto is a Salesforce Summit partner with over 1,000 projects delivered since 2016, and runs its own finance, sales and delivery operations this way. A business that will still be here in three years.

05 — What it works with

Whatever you already use.

If a person in your business can do it with the systems you have, we can usually automate it. Modern cloud software connects directly. Older software on a machine in the office is handled differently but is rarely a barrier. Documents, emails, spreadsheets and PDFs are read and understood rather than needing a connection at all.

The systems you run the business on

Your accounts package, whether that is Xero, Sage or something older on a server in the office. Your CRM, whether that is HubSpot, Salesforce or a spreadsheet somebody maintains. Your field service, job or booking system. If your team can use it, we can usually work with it.

Your email, documents and spreadsheets

Outlook or Gmail, SharePoint or Google Drive, the shared inbox nobody owns, and the Excel files half the business depends on. Reading a PDF or a scanned form does not need the software that made it.

Where your information stays

In your own systems — your accounts package, your CRM, your shared drives, your inboxes. Ignyto does not hold a copy. Where possible the automation is built inside your own Microsoft or Google environment, so nothing leaves it at all. You can see and withdraw our access at any time.

06 — Cost

What drives the cost.

Setup, then a monthly programme that rises with the number of automations running. There is no price on this page because a number before we have seen your work would be a guess. What moves it:

How many tasks

One task automated well is a different proposition from eight running together.

How many systems are involved

A task that lives in one place is simpler than one crossing four.

The state of the information

Clean, consistent records are quicker to work with than inconsistent ones. The review tells you which you have.

The review is what establishes what is possible and what it would take for your business, and you keep the ranked list either way.

07 — Common questions

Questions we are asked first.

Do we need to buy new software?

Usually not. The point is to make what you already have work together.

Do we need to be technical?

No. Ignyto builds it, runs it and fixes it. Nobody internally needs to learn a new tool to keep it going.

What happens when it breaks?

Ignyto is watching it and fixes it. That is what the monthly programme is for.

What if our software changes?

Suppliers change their software regularly. Keeping up with that is included, and it is the main reason automations built by someone who then left tend to stop working.

Is our information safe?

It stays in your own systems. Ignyto does not hold a copy, and you can see and withdraw our access at any time.

Is this not what Zapier is for?

You can connect two things yourself. The work is in the awkward middle — reading documents, handling exceptions, knowing when a person needs to decide, and keeping it all working a year later.

How is it different from hiring a developer?

A developer builds it once and leaves. Everything after that is your problem.

Do we need to be a Salesforce customer?

No. If you already run Salesforce, some of the automation may well belong inside it and we will say so. If you do not, that changes nothing about what we can build for you.

Will it replace people?

No. It takes the low value tasks off your people so they can do the high value work — the parts of their role that need judgement, skill and a human. Most businesses stop needing the next admin hire rather than losing anyone they have.

What is the smallest business you will work with?

If the same task repeats, it is worth looking at. Book a call and we will tell you honestly.
