Ignyto Automate / Purchase invoices

Still keying supplier invoices in by hand?

We automate it, so your team gets that time back and you scale without growing your headcount. You do not need to understand how it works. That is our job.

Book a call See how invoices arrive once we automate it
01 — How it works today

Someone types every invoice in.

Supplier invoices arrive as PDFs and email attachments, from dozens of different suppliers in dozens of different layouts. Somebody opens each one, types the numbers into the accounts system, matches it to a purchase order, and chases the ones that do not add up.

It is slow

A few minutes per invoice does not sound like much until you multiply it by the number of suppliers you pay and the number of weeks in a year.

It is dull

Nobody joined your business to retype numbers from one screen into another, and the people doing it know that.

It goes wrong

A transposed figure, a missed credit note, a duplicate payment. Errors here cost real money and take longer to find than they did to make.

It gets worse as you grow

More suppliers means more typing, which eventually means another pair of hands doing work that nobody should be doing at all.

02 — How invoices arrive once we automate it

The invoices are already in when you look.

Instead of landing on a desk, invoices arrive entered, matched and coded. The only ones a person sees are the ones that genuinely need a decision.

Read on arrival

Whatever the layout, and whether it came as a PDF, a scan or a photograph. It does not need the software that made it.

Entered and coded

Straight into the accounts package you already use, with the right nominal code and the right supplier.

Matched to the order

Against the purchase order or the delivery note, so the three-way match happens without anyone doing it.

Exceptions held back

Anything that does not match, looks duplicated or falls outside tolerance is flagged for a person, with the reason. Judgement stays with your team. The typing does not.

The result is your finance team spending its week on suppliers, cash and margin rather than data entry — and one fewer reason to hire when volume grows.

03 — Why Ignyto

We build it, and then we keep it working.

Most businesses that have tried automation have one that broke and nobody could fix. A supplier changed their invoice layout, a login expired, or the person who understood it left. That is the problem the ongoing service exists to solve.

An engineering business, not a freelancer

Ignyto is a Salesforce Summit partner and an Anthropic Claude Registered Partner, with over 1,000 projects delivered since 2016 from London, Manchester and Dublin.

We run our own finance this way

Ignyto uses the same approach internally, which is a large part of why we know where it breaks.

You are not locked in

It is built in your own systems, using your own accounts package. Ignyto does not hold a copy of your data and you can withdraw our access at any time.

Early, on purpose

Ignyto Automate is a new service. The business behind it is not: 4.9 average client CSAT, scored on every project rather than a selected sample. The first businesses on it get more of our attention than the hundredth will.

Your numbers

Work out what one manual task costs you a year.

Pick the task your team does by hand most often and put your own figures in. Nothing is sent anywhere and nothing is stored on our side — the numbers stay in your browser. Rough figures are fine; the total is usually bigger than people expect.

Get your figures

Tell us who you are and your figures appear straight away.

We send the results to a named person at a named business, so a work email address is needed. Nothing is shared with anyone and nobody rings you unless you tick the box.

  • What this one task costs you a year, broken down
  • The hours it takes out of your team
  • The monthly figure it would need to come in under to pay back inside a year

Your return

Fill in the first three boxes and the salary, and what this task costs you a year appears here.

Automating it is worth doing at any monthly price below —

The time cost is worked out from what the person actually costs you: salary plus 25% for employer national insurance, pension and holiday cover, spread over 1,760 working hours a year (220 days at eight hours). Change the salary if your on-costs are higher. It still ignores recruitment, management time and cover when somebody is off. What we would charge depends on the task, the systems involved and how much of it can be automated, and we will not put a number on that before we have seen it.

04 — Common questions

Questions we are asked first.

Do we need to change our accounts software?

No. The automation puts invoices into the system you already use, whether that is Xero, Sage or something older on a server in the office.

What happens when an invoice does not match the order?

It is held back and flagged for a person, with the reason. You still see the exceptions, which is where the judgement is needed. What disappears is the typing.

Can it read scanned invoices and photographs?

Yes. Scans, photographs and emailed PDFs are all read. It does not need the software that produced the document.

What if a supplier changes their invoice layout?

That is handled as part of the ongoing service. Keeping up with changes like this is the main reason automations built once and left alone stop working.

Where does our invoice data go?

Nowhere new. It stays in your own systems. Ignyto does not hold a copy, and you can see and withdraw our access at any time.

Do we need Salesforce for this?

No. This has nothing to do with which CRM you use, and most businesses asking about it do not run one.

Book a call about the manual work slowing your team down.

Invoices are one of many. Quotes typed from a template, overdue payments chased by hand, timesheets nobody returns, compliance checks filed one at a time, the report somebody rebuilds every Monday. We will talk through what repeats in your business, what each one costs you a year, and which is worth fixing first. You keep that list whether or not you go further with us.
